Today we will show you how you can apply simple steps to automate repetitive tasks and free up your time for more strategic activities.

How do we start automating?

Before jumping into the exciting world of automations, it's essential to follow an analytical process to ensure that the tools you choose really add up for your business. Here are the key steps you should follow:

  1. Make a list of applications: List the applications you use on a day-to-day basis in your operations. This will give you clarity on which tools are essential to you and which ones could be leveraged to automate processes.

  2. Create a flowchart: Once you have your list, create a flowchart. This visual will help you see how each application can connect to another. The intent is to identify which processes can be simplified through automation, thus adding value to your operations and improving customer service. For example, reducing response times.

How have we automated at Trubots?

I'm going to show you a practical example of how we at Trubots have managed to automate one of our marketing processes using tools like Zapier. This will give you a clearer idea of how you could implement something similar.

What happens when someone visits our website?

  1. Scheduling advice: The first point of contact with the potential customer is through a button on our website, scheduling a free advice through Calendy, part of Zapier's marketplace.

  2. Automatic lead creation: With each new scheduling, a lead is automatically created in Mailchimp using Zapier, allowing us to start a flow of automated emails and manage it in our sales funnels.

  3. Connection with WhatsApp: Through Calendy we obtain the customer's WhatsApp number, which we then include in our contact lists to allow an advisor to get in touch immediately.

  4. Integration with CRM: Finally, the contact is automatically integrated into our CRM system, HubSpot, where we initiate the commercial process defined for each customer.

  5. Zoom link generation: Finally, Calendy creates a link to a Zoom meeting, ensuring that the free consultation is carried out efficiently.

Why use Zapier?

Implementing automations with Zapier drastically reduces the time it would take to manually manage these tasks, ensuring immediate and efficient attention for our potential clients. The initial implementation might take you about 10 minutes, but the benefits are remarkable!

How can you implement automations yourself?

Here's a challenge to get you into the world of automations:

  • List your applications: Identify your daily tools. This is the first essential step.
  • Search on Zapier: Find out if these apps are in the Zapier marketplace. Usually, the most popular tools are already integrated.
  • Create a diagram: Design a simple automation flow and share it. You might discover new ways to optimize your time and effort.

Actualmente soy Auxiliar de Marketing considero que zapier puede ayudarme a organizar mejor la infromaci贸n y las campa帽as dentro de nuestro CRM (Monday) aunque el CRM aun se encuentra en pa帽ales en cuanto a las capacidades de otros que hemos usado como Zoho este tiene un buen potencial para automatizar ciertos datos de la organizaci贸n. Actualmente usamos Make como aplicaci贸n de integraciones pero consiero que es necesario tomar en cuenta ambas aplicaciones para desarrollarlo

En el bot贸n naranjo deber铆a ir una frase como: "Cotiza aqu铆" "Agenda tu reuni贸n" "Pedir informaci贸n" La leyenda debe ser breve, mejor a煤n si encapsulas el bot贸n, para que sobresalga.

Soy ingeniera de sistemas y trabajo brindando soporte a funcionarios de empresas, ellos crean tickets en aplicaciones como: Aranda y Service Manager 2019, pero creo que no se encuentran en el market place de zapier.
